
XpenseOne is an Android mobile application designed for end-to-end management of travel expense claims and company expenses. The solution is developed natively for SAP Business One, but can also be easily integrated with other ERP systems, HR platforms, or internal applications used by the organization.
Mobile-first, automated, and AI-assisted, XpenseOne radically simplifies the process of requesting, approving, and recording expenses, significantly reducing administrative effort and operational errors.
Key Features
For employees
Directly from the mobile app or via WhatsApp, employees can:
- request travel advances;
- add expenses by photographing receipts or fiscal invoices (AI-based automatic recognition);
- create travel expense reports, which may include approved advances, individual expenses, and per diems;
- track the status of requests and expense reports in real time.
For managers
- approve or reject advance requests and expense reports on mobile, from anywhere they work;
- benefit from a clear and fast approval workflow, without emails or paper documents.
SAP Business One–Dedicated Features
XpenseOne provides deep integration with SAP B1:
- automatic import from SAP of users, business partners, currencies, cost centers, and other relevant settings;
- automatic generation in SAP of specific documents such as vendor invoices, fiscal receipts, and per diems;
- full attachment of supporting documentation;
- creation of payment orders via the Payment Wizard for approved advances, accounting entries for expense reports, and direct posting of expenses into accounting.
